Apostille in Ontario — What You Should Know
Apostille or authentication — which one you need
The Hague Apostille Convention came into force for Canada on January 11, 2024. If your document is going to a country that belongs to the Convention, it now receives an apostille certificate, and no further embassy step is required.
If the destination country is not a member, the older route still applies: the document is authenticated and then legalized at that country’s consulate. Tell us the destination country and we will point you to the correct path before you spend money on the wrong one.
Which documents usually need one
Vital records such as birth, marriage and death certificates; diplomas, degrees and transcripts; police record checks; corporate and business documents; and private documents like declarations and powers of attorney.
Order of operations matters
Private documents — a declaration you wrote, a power of attorney, a copy that needs certifying — normally have to be notarized or commissioned first. The apostille is then issued for that notarized document. Sending an un-notarized private document is one of the most common reasons an application is sent back.

Frequently Asked Questions
What is the difference between an apostille and authentication?
An apostille is a single certificate accepted by countries in the Hague Apostille Convention, which Canada joined on January 11, 2024. Authentication followed by consular legalization is the older, longer route still used for countries outside the Convention. Which one you need depends entirely on the destination country.
Does my document need to be notarized before the apostille?
Usually yes for private documents — declarations, powers of attorney, letters and copies must be notarized or commissioned first, and the apostille is issued for that notarized document. Government-issued records such as birth certificates generally do not need notarization first.
Can you guarantee a foreign authority will accept my document?
No. We make sure the notarization is done correctly and explain the apostille process, but the receiving authority in the destination country sets its own requirements. Always check what they ask for before you start.
How much does Apostille cost?
Service fee: $100. Fees are determined by the number of notarization signatures, not the number of documents. We accept Cash and e-Transfer.

We are open 7 days a week: Mon – Fri: 10:00 am – 6:30 pm, Sat – Sun: 12:00 pm – 4:00 pm. Call 416-951-3301 before visiting so we can have everything ready — same-day and last-minute visits are usually no problem.
What should I bring?
A valid government-issued photo ID (Passport or Driver’s License) and your documents, unsigned — the notary must witness your signature. If you need certified copies, bring the original documents. Free printing and copying is available.
