Certified True Copies — What You Should Know

How a certified true copy works

You bring the original. The notary compares the photocopy against it, then certifies on the copy that it is a true reproduction of the document produced. You keep your original — that is the whole point of the exercise, so you never have to mail a passport or a diploma away.

Check who the receiving institution accepts

This is the step people skip. Some universities, foreign consulates and professional bodies will only accept a copy certified by a specific person or by the issuing body itself. Before you pay for certified copies, confirm with whoever is asking for them that a notary public is acceptable to them.

A copy cannot be certified from another copy

The original has to be in front of the notary. A scan, a photo on your phone or a previously certified copy is not enough for a new certification.

Do I have to give up my original document?

No — that is exactly why certified copies exist. You keep the original. The notary compares the copy to it in front of you and certifies the copy, so you can send the copy and keep the document safe.

Can you certify a copy from a scan or a photo?

No. The original document must be physically present so the notary can compare it against the copy. A scan, a phone photo or an existing certified copy cannot be used as the source.

Will my university or consulate accept a notary-certified copy?

Usually, but not always — some institutions insist on a copy certified by the issuing body or by a specific official. Check with them before your appointment so you do not pay for copies they will not accept.
